GOCRATIQ Privacy Policy

This policy explains what information Gocratiq collects, how we use it, who receives it, how long we keep it, and the choices you have. It covers gocratiq.com and the Gocratiq app. Gocratiq is for students 13 and older. Because they are minors, it also includes a notice to parents about their student's information.

The short version

Students are 13 or older, and their parents open their accounts. A parent or legal guardian who is 18 or older creates their own account and adds their students. Gocratiq is not for children under 13. Nothing is collected from a student until their parent has consented.
We collect what the tutor needs. For a student, that is their name and email, what they write to the AI tutor, and their learning progress. We don't ask students for their address, phone number, school or location. A student may choose to add their own notes, books, or photos of their schoolwork for the tutor to use; we remove location data from photos, and their parent can see and delete everything they add.
We never sell information, never show ads, and don't use students' chats or uploads to train AI models — ours or anyone else's.
Parents are in control. You can read your student's chats and progress at any time, and delete their information whenever you like.
Students know their chats are not private. The parent who manages a student's account can read every one of the student's chats, and the app tells students so.
A few companies run parts of Gocratiq for us, such as the AI provider and our host. They may use information only to provide their service to us. They are listed below.

Who Gocratiq is for

Gocratiq is an AI tutor for students 13 and older, mostly in middle and high school, offered to families in the United States.

Parent accounts are for parents and legal guardians who are 18 or older and live in the United States.
Student accounts exist only because a parent created them. Students do not sign up on their own; our sign-up page creates parent accounts only.
Not for children under 13. When a parent adds a student, we ask for the student's month and year of birth, and we do not add anyone under 13. We use the date only for that check and do not keep it. We do not knowingly collect personal information from children under 13. If we learn that a student is under 13, we delete their account and everything about them. If you think a child under 13 has an account, tell us at privacy@gocratiq.com.
Gocratiq is not offered outside the United States. If you live elsewhere, please don't use it.

Information we collect

From parents

Your account: your name, email address and phone number. Your password is handled by our sign-in provider, Google Firebase; we never see or store it.
What you tell us about your students: each student's first and last name, their month and year of birth (checked to confirm they are 13 or older, then discarded), their email address, the password you choose for them (we pass it to Firebase and email it to your student with their sign-in details; we don't store it), the chapters you choose for them, and any notes you write about them (for example their interests, goals or how they learn best).
Billing: our payment processor, Stripe, collects your card details. We receive only the card brand, last four digits, expiry date and the status of your payments — never the full card number.
What you send us: messages through our contact form or by email, and any materials you upload, such as a textbook, notes or a handout you share with the students you choose, or a lesson you create in the lesson planner. What you upload is private to your family: we never share or sell it, and it never appears in our store or to other families.

From students

Chats with the tutor: everything a student types to the AI tutor and the tutor's replies.
Learning records: which chapters they studied, their progress, the key ideas they showed they understood (with the sentence that showed it), assessment scores, and AI-written summaries of their strengths and what to work on next, which together form a learning profile.
What they choose to upload: notes, handouts, books, screenshots and photos of their schoolwork that a student adds for the tutor to use — to one chat, or as a book of their own. Uploading is optional and starts only after their parent has agreed to this version of the policy. We remove location and other hidden data (EXIF) from every photo and keep only a smaller copy. A photo can show more than schoolwork, so we ask students to photograph only their work, and the tutor is instructed never to identify or comment on anyone in an image. The parent who manages the account can see and delete everything their student uploads.
Account activity: when they sign in, when their sessions start and end, and how much they use the tutor (counts of AI requests, not their content).

Apart from what a student chooses to upload, we do not ask students for any other information, and a student does not have to give more than the tutor needs to take part. Gocratiq has no feature for students to post information publicly or share it with other users.

Collected automatically

Technical information. Like any website, our servers and our sign-in provider receive your IP address and basic browser information when you use Gocratiq. We use it only to deliver the service and keep it secure (for example, to limit repeated sign-in attempts). We do not use it to build profiles, show ads, or track anyone across other websites.
Cookies and browser storage. We do not use advertising or analytics cookies, and there are no ad networks, social media plug-ins or tracking pixels on Gocratiq. We use your browser's storage to keep you signed in (Google Firebase) and to remember small preferences, such as the last student you looked at. Stripe's checkout pages use their own cookies to prevent fraud.
Fonts. Our pages load typefaces from Google Fonts, which receives your IP address in order to deliver them.

From visitors to our website

If you use a contact or interest form on our public website, the form service Formspree receives what you enter: your name, email, organization, message and, if you choose to tell us, your children's ages.

How we use information

To tutor students. We send a student's messages, together with the chapter they are studying, to our AI provider to write the tutor's replies.
To personalize learning. We build a learning profile from a student's past sessions and from the notes their parent writes, and use it to tailor that student's future sessions.
To keep parents informed. We show parents their student's chats, progress, scores and summaries, and email parents short updates about what their student learned.
To run accounts and billing. We send sign-in details, consent confirmations, receipts and trial reminders, and process payments.
To support and protect the service. We use information to answer your questions, fix problems, prevent abuse and keep Gocratiq secure. Authorized Gocratiq staff can view a student's sessions when that is needed to support you, to investigate a problem or a safety concern, or to check the quality of the tutor.
To follow the law, and to enforce our Terms of Service.
Tips by email. We may send parents a few tips about getting started. Every one has a link to stop them. We never send marketing to students.

What we don't do. We do not sell personal information. We do not share it for targeted advertising, and we show no ads. We do not contact students except to send them their own sign-in details. We do not use students' chats or anything students or parents upload to train AI models, and neither does our AI provider. If we ever wanted to use them that way, we would first ask parents for a separate, optional consent, and only use information collected after a parent agreed.

The AI tutor

The tutor is an artificial intelligence (Anthropic's Claude), not a human. The student app says so on every chat screen and reminds students every hour. AI chatbots may not be suitable for some minors — parents decide whether Gocratiq suits their student. Our full AI disclaimer is in the Terms.
AI can be wrong. A tutor reply, score or summary may be inaccurate or incomplete.
Scores, summaries and the learning profile are automated estimates meant to help a student and their parent. They are not grades, and Gocratiq uses them for nothing else: they do not decide anything about a student such as placement, grading or access. A parent can ask us to correct or delete them.
The tutor follows safety rules for young users. If a student says something suggesting they may be at risk, the tutor sets the lesson aside, encourages them to talk to a trusted adult, and points them to the 988 Suicide & Crisis Lifeline and the Crisis Text Line. Our Student Safety page publishes the full protocol.
We count how often the tutor gives crisis resources: a number per day, with nothing about who it was or what was said. We use it to check the protocol works, and to report it where the law requires.
Anthropic processes this information under its commercial terms, which prohibit it from training its models on what we send.

We share personal information only in these cases.

Service providers. These companies run parts of Gocratiq for us. Each may use the information only to provide its service to us, and must keep it confidential and secure.

Sharing with these providers is necessary to provide Gocratiq. We do not disclose students' personal information to anyone else.

Who can read a student's chats. A student's chats are not private from the adults responsible for them:

The parent who manages the student's account can read all of the student's chats with the tutor, and see their progress, scores, summaries and learning profile. If a student is on two parents' accounts, both parents can.
Authorized Gocratiq staff can view them only for the reasons in "How we use information" — to support you, to look into a problem or a safety concern, or to check the tutor's quality.
Our AI provider processes them to write the tutor's replies, as described above.

No one else can see them. We tell students this in words they can follow: when they first sign in, under every chat, and on their list of past chats.

When the law requires it, or to protect people. We may disclose information if the law requires it, or if we believe it is needed to protect a student or anyone else from harm, or to prevent fraud.

If Gocratiq changes hands. If Gocratiq is merged or sold, the information would pass to the new owner, who must keep the promises in this policy. We would tell parents first, and ask for consent again before using students' information in a new way.

Students' privacy: notice to parents

Gocratiq is for students 13 and older. They are still minors, so a parent manages their account, and we give them the extra protections below.

How consent works. Before a student's account exists, their parent — signed in to their own account — must confirm that they are the student's parent or legal guardian, that the student is 13 or older, and that they consent to the practices in this policy. Nothing is collected from the student before that. We then email the parent, at the address on their account, to confirm the consent and explain how to withdraw it. If a parent does not consent, no account is created and we keep nothing about the student.

What we collect from students, and why. A student's name and email (given to us by their parent), what they write to the tutor, and their learning records — see "Information we collect" above. We use it only to tutor the student, to personalize their lessons and to show their parent how they are doing. We never ask a student for more than that, and no part of Gocratiq requires it.

Who receives it. Only the service providers listed above, and only because Gocratiq cannot work without them. We do not disclose students' information to any other third party.

Identifiers. We use account IDs and your browser's storage only to operate Gocratiq — keeping a student signed in and the service secure — and never to build an advertising profile or to contact a student.

No ads, no selling, no profiling. We process a student's information only to provide the tutoring they use. It is never used for advertising, never sold, and never used to profile them for decisions that affect them. We treat every student account as a minor's account, whatever the student's age.

Your rights as a parent. At any time you can:

Review your student's information: their chats, progress, scores, summaries and the notes you wrote are on your dashboard. Email us for a copy of everything we hold.
Correct it: edit your student's name on their dashboard, or ask us.
Delete it: on your student's dashboard, choose Remove student and tick Delete all of their data now. Or email us.
Refuse further collection: removing your student stops all collection from them. Gocratiq cannot tutor a student without collecting what they write, so removing them also ends their access.
Withdraw consent: in the same way, at any time.

We act only on requests that come from the parent's own account or its email address, so that a student's information is never released to the wrong person. We respond within 30 days.

What students can do themselves

A student can ask us directly, at privacy@gocratiq.com, to see, correct or delete their own information. We will let the parent who manages their account know, because deleting it ends the student's access.
Where a state law gives teenagers more rights than this policy describes, we honor them.

How long we keep information

This is our data retention policy. We keep information only as long as we need it for the purposes below, and then delete it. We do not keep students' information indefinitely.

When we delete a student, we keep only a placeholder record with no name, email or content, so that past billing records still add up.

How we protect information

Information is encrypted in transit (HTTPS) and stored with our hosting provider in the United States.
Only authorized staff who need it to do their job can see personal information.
We keep a written information security program, review it at least once a year, and require every service provider to protect the information we share with it.
If a data breach affects your information, we will notify you and the authorities as the law requires.

No system is perfectly secure, but we work hard to protect what you entrust to us.

Your choices and rights

Wherever you live in the United States, you can:

See and correct your account details in your profile.
Get a copy of the information we hold about you or your student, by emailing us.
Delete a student's information from their dashboard, or anything they or you uploaded from their Materials page, or ask us to close your whole account by emailing us.
Stop tips by email with the link in any of them. Account, consent and billing emails still come, because they are about your account.

Some state privacy laws (for example in California, Colorado, Connecticut and Virginia) give residents rights to know, access, correct, delete and take a copy of their information, and to opt out of its sale, of targeted advertising and of certain profiling. We don't sell personal information, we don't use it for targeted advertising, and we don't use profiling to make decisions with legal or similarly significant effects — so there is nothing to opt out of. We honor the other requests for everyone, whichever state you live in.

To make a request, email privacy@gocratiq.com from the email address on your account, or have an authorized agent contact us with your written permission. We will confirm the request comes from you, reply within 30 days (or sooner if your state's law requires), and never treat you differently for asking. If we turn down a request, you can appeal by replying to our answer. If you are still unhappy, you can contact your state attorney general.

Do Not Track and Global Privacy Control. We don't track people across other websites or sell their information, so these browser signals have nothing to switch off on Gocratiq.

California. We do not share personal information with others for their own direct marketing. A student under 18 who wants something they wrote removed can ask us at privacy@gocratiq.com.

Changes to this policy

When we change this policy, we post the new version here and update the date at the top. For a significant change, we tell parents by email or in the app and ask them to agree again before they continue. We will never start using information already collected from a student in a materially different way without first getting their parent's consent.
